Component 2 is the trigger calendar: for each item in the inventory, a trigger date set thirty to sixty days before expiry. The trigger is the reminder to begin the renewal process, not the reminder that something has already expired.
Most compliance failures are not caused by forgetting that something needs to be maintained. They are caused by the renewal process starting too late. A contractor license that renews in ninety days needs sixty days to complete the continuing education required for renewal. The trigger exists so the process starts in time.
Before: The contractor discovers that a certification expired two months ago when the bid package requires it to be current. After: A trigger fires sixty days before expiry, giving enough time to renew before the document lapses.
Component 3 confirms the compliance picture before significant business events
Component 3 is the checkpoint: a regular confirmation that the compliance picture is current, run before any significant business event. Before submitting a bid, before starting a new job type, or on a set quarterly schedule.
The checkpoint takes fifteen minutes. It confirms that nothing has expired since the last review and that the trigger calendar is still accurate. A business that does a compliance checkpoint before every bid submission never walks into a bid package with a lapsed certificate.
